How to issue a cash receipt in Nigeria without raising an invoice

Amaka sells beaded jewellery at her shop in Lekki. A customer walks in, picks three necklaces, and pays ₦18,500 cash on the spot.

Amaka has no laptop nearby. She is not going to sit and raise a full invoice for a walk-in sale. But the customer wants a receipt. And Amaka — if she is running her business properly — wants a record too.

This is the situation most Nigerian MSME owners are in multiple times a day. You are selling, collecting money, and moving fast. You need a receipt. You do not need a full invoice.

This post explains the difference, tells you when each one applies, and shows you how to issue a proper PDF receipt in under a minute using Lucrive.

What is the difference between an invoice and a receipt?

People use these words interchangeably. They are not the same thing.

An invoice is a request for payment. You send it to a customer before or after you do the work, and you say: "You owe me this amount." The customer then pays later — sometimes days or weeks later.

A receipt is proof that payment has already happened. The customer paid. You confirm it. Done.

For most walk-in customers and cash sales, you do not need an invoice at all. You need a receipt.

Why receipts matter even for small cash sales

Amaka might think: "It is just ₦18,500 — why bother?"

Here is why.

For the customer: A receipt is proof they paid. If they come back tomorrow saying a necklace is broken and you have no record of the sale, the conversation gets messy. A receipt stops that.

For Amaka: Every cash sale without a receipt is money she has no record of. At the end of the month, when she is trying to figure out how much she made, those unrecorded sales are invisible. She cannot track what she earned. She cannot see which products sold.

For tax purposes: The Nigeria Revenue Service (NRS — what used to be FIRS before the Finance Act 2025) expects businesses to keep records of their income. If your business ever gets audited, a trail of receipts is your evidence.

A receipt is not bureaucracy. It is proof that a real sale happened. It protects you and your customer.

When do you issue a cash receipt instead of an invoice?

Issue a cash receipt when:

  • A customer pays you on the spot — cash, POS, or bank transfer at the counter
  • There is no credit period. They paid now.
  • You do not need to chase payment later — the money is already in your hand

Issue an invoice when:

  • You are billing a customer who will pay later
  • You want to formally request payment before it happens
  • You need to track an outstanding balance

If Amaka sells and collects payment immediately, she issues a receipt. If she supplies jewellery to a boutique that will pay in 30 days, she sends an invoice.

How to issue a cash receipt on Lucrive in four steps

Lucrive lets you issue a professional PDF receipt for any cash or immediate sale — without raising an invoice first. Here is how it works.

① Go to Receipts

Log in to your Lucrive account. Click Receipts in the left sidebar.

② Click "New Sale Receipt"

You will see a green button in the top right corner that says New Sale Receipt. Click it.

③ Fill in the details

You will see a short form. Here is what each field means:

For Amaka's sale: she enters ₦18,500, writes "3 beaded necklaces" in the description, selects POS as the payment method, and leaves the customer name blank (walk-in, no name).

④ Click "Issue Receipt & Download PDF"

Lucrive generates a receipt number automatically (e.g. REC-2026-0010) and downloads the PDF to your phone or computer immediately. The receipt is also saved to your Receipts page so you can re-download it anytime.

That is it. Four steps, under a minute.

What does the receipt PDF look like?

The PDF has your business name and details at the top (from your Settings). It shows:

  • The receipt number
  • The date
  • What the customer paid for (your description)
  • The payment method
  • The total amount paid
  • A "PAID IN FULL" confirmation

It is clean, professional, and can be sent to the customer via WhatsApp straight from the Receipts page.

Can you send the receipt to your customer?

Yes. Once a receipt is saved, go back to your Receipts list. You will see each receipt with a Share button. Tap it and your phone or computer will open the native share menu — the same one you use to send photos on WhatsApp. You can attach the PDF and send it directly.

On desktop (Windows or Mac), the PDF downloads and you can attach it to any message manually.

What happens if a customer pays in instalments?

If a customer is paying in two or three parts over time, that is a different situation. In that case, you raise an invoice first, then record each payment against it. Lucrive tracks the outstanding balance for you automatically.

The sales receipt is for one-off, paid-in-full situations only. Full payment, right now, one receipt.

Do you need to raise a receipt for every sale?

You do not have to. But the more sales you record, the clearer your picture of your business becomes.

Think about it this way: if Amaka issues receipts for every sale in a month, she can look at her Receipts page at the end of that month and immediately see how much money came in, which payment methods customers use most, and whether sales are growing week by week.

That information is free. The only cost is 30 seconds per sale to fill in the form.

Common questions

Can I back-date a receipt?

Yes. The date field is editable. If a customer paid yesterday and you are recording it today, just change the date to yesterday.

What if I made a mistake on the receipt?

Receipts on Lucrive cannot be edited once issued (this protects your records). If you made a serious error, issue a note of the correction to the customer separately, or contact support at info@lucrive.io.

Is there a limit to how many receipts I can issue?

No. You can issue as many sales receipts as you need, on any Lucrive plan including the free plan.

Does this replace my invoice feature?

No. If you need to bill a customer who will pay later, use Invoices. Sales receipts are for immediate payments only.
